Many organisations still manage IT the way they manage a car with no service plan: wait for something to break, then call someone to fix it. It feels cost-effective because you only pay when there is a problem.
The hidden cost is everything else — the hours employees cannot work, the orders that cannot be processed, the customer who walks away while the point-of-sale system restarts. For most businesses, downtime costs far more than prevention.
What is an Annual Maintenance Contract?
An Annual Maintenance Contract (AMC) is an agreement in which an IT partner takes responsibility for maintaining your hardware, software and networks for a fixed annual fee. There are two common types:
- Comprehensive AMC covers labour and replacement parts. It offers the most predictable costs and suits critical or ageing equipment.
- Non-comprehensive AMC covers labour, support and preventive maintenance, with parts billed separately. It is often more economical for newer equipment still under warranty.
Modern AMCs increasingly include remote monitoring, a service desk and cloud or SaaS support alongside traditional hardware maintenance.
Break-fix versus proactive support
| Break-fix | Proactive AMC | |
|---|---|---|
| Cost | Unpredictable, spikes after failures | Fixed and budgeted |
| Response | Best effort, no guarantees | Contractual SLAs |
| Maintenance | Rarely performed | Scheduled preventive visits |
| Visibility | Little or no asset tracking | Full asset register and reporting |
| Incentives | Vendor earns more when things break | Partner earns more when things work |
That last row matters most. Under break-fix, your provider's revenue rises with your problems. Under a proactive contract, your partner is rewarded for keeping systems healthy.
What good proactive support looks like
Continuous monitoring
Servers, network devices, backups and critical applications are monitored around the clock. Many problems — a filling disk, a failing drive, an expiring certificate — are fixed before anyone notices.
Preventive maintenance
Scheduled visits clean, update and inspect equipment, apply firmware and security patches, and test backups.
A responsive service desk
Users raise issues by phone, email, portal or chat. Tickets are prioritised by impact, tracked against SLAs and escalated automatically when needed.
Asset lifecycle management
Every device is recorded with its warranty, age and condition, so refresh decisions are planned rather than forced by failures.
Transparent reporting
Monthly reports show tickets, response times, uptime, recurring issues and recommendations — so you can see exactly what the contract delivers.
The best IT support is the kind your team barely notices, because nothing goes wrong.
Choosing an AMC partner
When comparing providers, ask:
- What are the response and resolution times for each priority level, and what happens if they are missed?
- Is remote monitoring included, and what exactly is monitored?
- How often are preventive maintenance visits scheduled?
- How do you support multiple sites or remote employees?
- What reporting will we receive each month?
- How is the transition from our current provider handled?
Getting started
A good AMC begins with an infrastructure audit: a complete inventory of assets, their condition and their risk. Our IT infrastructure and AMC team provides that audit as the first step of every engagement, and our ServiceDesk platform gives you live visibility into every ticket, asset and SLA.
